Develop a virtual events strategy for a national healthcare organisation to host a one-day educational seminar event:

Challenge
When COVID-19 quarantine shut down all in-person events, an ETM client faced the dilemmas of:
- The organisation jeopardised losing their highly sought-after presenters that were unable to reschedule if the organisation was to postpone the event
- Needing a way to deliver critical research content to association membership
- Cancelling or postponing their speaking event for 300+ health professionals.
Solution
The ETM team worked on creating a virtual events program to provide the same experience as an in-person event. Virtually, there was a series of meeting sessions and networking events. The program combined pre-recorded and synchronised sessions with several live webinar sessions for a Q&A portion. ETM staff was on hand for live support and assisted attendees in case any issues arose.
Results
- A successful one-day event with pre-recorded synchronised sessions with several live webinar sessions for Q&A
- ETM was able to coordinate and produce this virtual conference within a six-week time frame for 350 virtual attendees
- Managed registration process to track session registration and gauge interest in attending virtually
- Assisted client with agenda design to include ample breaks, a prerecorded stretch break, and a combination of live and pre-recorded sessions to keep audience engaged
- Tracked all session attendance to award CEUs to attendee’s postconference
- ETM staffed event support to assist attendees with their technical questions since virtual event experience was a brand-new concept
- Conducted a series of speaker training calls to ensure comfort level of all speakers to ensure content delivery was maximised.
